We Handle Scheduling

You receive a scheduling link to forward to your team. Each person books their own time slot directly. You don’t coordinate individual schedules. James confirms the date, start time, location, and backdrop choice a few days before.

Arrival and Set Up

James arrives early and sets up a full professional studio at your office: lights, backdrop, and everything needed for consistent results. Every person is coached on posture, expression, and where to look. Sessions run about 10 minutes per person.

Organized Delivery

Within two business days, you receive a master gallery with every person’s images organized and named by participant. Each file is a high-resolution, professionally retouched JPEG, ready for your website, LinkedIn, and print.

James travels to offices within 60 miles of our studio in Green, Ohio. The $200 location fee covers travel throughout the full Cleveland, Akron, and Canton metro area — including Medina, Hudson, Stow, Cuyahoga Falls, North Canton, Tallmadge, Fairlawn, Wadsworth, Wooster, Massillon, Barberton, and surrounding communities. For locations beyond 60 miles, contact us for a custom travel quote.

Plan for approximately 5 to 10 minutes per person plus 60 minutes for setup before the first appointment. A team of 10 typically takes about two hours start to finish. James can work around lunch breaks, scheduled meeting times, or other constraints — just let him know when you request the quote and he will build a schedule that fits your day.

We recommend getting as many people photographed as possible during the on-site session. Anyone who misses it can come to our studio in Green, Ohio at a later date. We document the backdrop color and lighting setup used at your session so the studio images will match your team’s on-site photos for a consistent look across the full team.

Each person should wear business professional or business casual clothing in solid colors. Navy, charcoal, burgundy, and forest green photograph well. Avoid busy patterns, logos, and bright white. James provides brief coaching for every person when they step in front of the camera, so no prior preparation is needed beyond outfit choice. A prep guide can be sent to participants in advance if helpful.

Finished, retouched images are delivered within two business days of the session. You receive a master gallery link with every participant’s image organized and named by person — first name, last name. Each file is a full-resolution JPEG ready for immediate use on your website, LinkedIn, or print materials. Optionally, James can also send each participant a private link to their own image.

Standard backdrop options include Bright White, Silver, Charcoal, Midnight, Marine, and Evergreen. If you have a specific brand color in mind, ask about custom backdrop options when you request your quote. The same backdrop is available at the studio for any new hires photographed after the on-site session.

Yes. Individual sessions at our studio in Green, Ohio are available Monday through Friday by appointment. The individual session rate is $250 and includes three professionally retouched images, a same-day proofing gallery, and two-business-day delivery. You can book directly from our calendar without a phone call.

James leads every team headshot session personally. He has photographed teams ranging from five people to more than fifty, and the approach is the same every time: arrive early, set up efficiently, and move through each person quickly without letting the session feel rushed.

Most people are not comfortable being photographed. James spends the first few minutes with each person coaching posture, expression, and where to look — the things that separate a photo someone actually uses from one that sits in a folder. The goal is a consistent result across the entire team, not just a few strong images.
